OB SUMMARY: Assists the director of the Postgraduate Division in overseeing residency, fellowship and diploma programs. He/she is responsible for the overall conduct and supervision of the areas of focused competence programs.    

DUTIES AND RESPONSIBILITIES:

  1. Manage day-to-day operations of training programs
  2. Provide management support for the postgraduate director, director assistant, program director and trainees
  3. Coordinate program director committee meetings and prepare the agenda and the minutes
  4. Update postgraduate policies as needed based on any changes of KSMC and Saudi health Specialist policies and procedure
  5. Counsel the trainees on any academic and administrative difficulties during the training and provide an action plan before report the issues to the head of the department
  6. Coordinate postgraduate events such as graduation, final exams, and ordinations
  7. Assist the faculty development committee to plan and implement their recommendations to improve the quality of the training process
  8. Coordinate trainees mentor process with program directors
  9. Maintain accurate and easily retrievable records of trainees
  10. Organize internal and external review with Saudi Commission office
  11. Create and Manage trainees database to keep tracking of trainees, coordinate their distribution and rotation evaluations.
  12. Create a faculty database program and faculty development purposes and training allowances purposes
  13. Monitor applicants eligibility status and provide initial screening candidates and ensure that they meet all KSMC requirement for an interview
  14. Schedule candidate interviews with program training committee in all programs
  15. Manage applications process through Saudi Commission for Health Specialties (145 programs)
  16. Assist program directors in submitting the rank order list to the Saudi Commission for Health Specialties through( Matching System)
  17. Coordinate the local scholarship application and the extension process with scholarship department, Ministry of Health for training and scholarship and their departments. reviews with the program director or associate program director, including portfolio review
  18. Update recruiting brochures, websites and other materials provided to applicants

QUALIFICATIONS

EDUCATION/ PROFESSIONAL EXPERIENCE:

 

Bachelor degree in Business Administration,

 

   SPECIALIZED KNOWLEDGE / SKILLS

  1. Fluent in verbal and written English
  2. Demonstrate Administrative and Team building skills
  3. Skill in computer use with the ability to operate the computerized system, word processing, Excel, Powerpoint, etc.)
  4. Effective written and verbal communication skills
  5. Effective stress and time management skills
